Overdue Invoice Chaser

Takes your list of overdue invoices and drafts the full collection ladder — friendly reminder, firm follow-up, final notice — calibrated to how late each invoice is and your relationship with that client. It asks for what's missing (invoice number, due date, prior contact) instead of inventing it, never threatens consequences that aren't in your terms, and tells you when the case belongs with a lawyer or a collection agency.

When to use

  • You said "clients owe me money and I don't know how to collect without sounding aggressive", "when do I move from friendly reminder to firm demand?" or "three emails in and no answer".
  • You have one or several overdue invoices and want the right message for each one based on how late it is and who the client is.
  • You want a ready-to-send message ladder (reminder → firm follow-up → final notice) instead of drafting each demand from scratch in the heat of the moment.
  • You're not sure whether to mention late fees or interest, and need that handled by what your terms actually say.

Don't use it to harass a debtor (daily pressure, calls to their workplace, publicizing the debt), to invent legal consequences that were never agreed to, or as a substitute for a lawyer or collection agency once the case has escalated.

What it does

With each invoice's data (client, amount, number, due date, days late, prior contact) it returns:

  • The complete message ladder, ready to send: friendly reminder (days 1–7 late), firm follow-up with a deadline (weeks 2–4), and final notice (past a month) — each labeled with who it's for and when to send it.
  • Tone calibrated to the moment: relationship-preserving with the punctual client who slipped once; clear and deadline-driven with the chronic late payer.
  • What's missing before you hit send: if you didn't provide the invoice number, due date, or agreed payment terms, it asks — never invents them.
  • A clear signal of when to escalate to a human: a debt big enough to justify professional handling, a client disputing the invoice, or formal collection requirements in your jurisdiction that the AI cannot verify.

It never invents interest, fees, or legal consequences beyond the terms you gave it; never suggests harassment or public-shaming tactics; and never promises the client will pay.

How to use

  1. Hand over your overdue invoices: client, amount, due date, and any contact so far.
  2. Get the drafted messages per rung, with the right moment for each.
  3. Check that amount, number, and dates match your actual invoice before sending — the AI can't see your invoicing system.
  4. If the client disputes the debt or still doesn't pay after the final notice, take the case to your lawyer or collection agency; this skill tells you when you've reached that point, it doesn't resolve it for you.

Best for

Small business owners and freelancers who invoice clients and lose time (and money) putting off collection because they don't know how to phrase it. It doesn't replace professional collections when the debt is large or the client has gone dark — its job is making normal cases get paid on time with the right message, and getting hard cases to the right professional.
